Job Description:
GWB Operations Assistant (Full-Time, Non-Exempt) Structure:
The Operations Assistant is responsible for carrying out all day-to-day operations within the office, including but not limited to:
internal and external pick- ups/deliveries/errands and maintaining functionality and neatness of the office.
The Operations Assistant shall report to the Operations Manager.

Improve productivity of the Firm by completing tasks and requests in a timely and efficient manner Keep the office neat, orderly, and well stocked Requirements:
Active Drivers License, with no major infractions on driving record Dependable Transportation, with insurance Ability to lift 15 - 20 pounds on a routine basis Able to push/pull carts and equipment as necessary
Responsibilities:
Open and prepare the office each morning (see below) Check conference center Set up for meetings in conference center Check and fill the refrigerators with drinks Put paper in the copiers and fax machines throughout the day Log incoming UPS/FedEx/DHL deliveries and distribute Clean kitchen areas on each floor and in the conference center Pick-up, sort and distribute mail from post office each morning Sort and distribute afternoon mail Run errands and make deliveries/pick-ups Assist in moving boxes, furniture, files, etc.

30am.
Turn on all lights, copiers, and check paper in all copiers to make sure that sufficient paper is present to last beyond morning mail delivery.
Check kitchens to make sure any overnight dish accumulation is out of the way and the restock the shelves with clean dishes where needed.
Start coffee on each floor.
Put newspapers on coffee table in lobby and after propping the doors open turn on the lights in the conference center.
It is now 8:
00am.
Log onto computer opening Client Profiles, Outlook, and Internet Explorer to log on to the Operations Assistant update page and update in office status.
Check Outlook to see if anything has been scheduled in the Conference Center since checking the afternoon before prior to departure to the Post Office on West Washington Street.
If set-up in the conference center is needed set-up accordingly making sure adequate beverages, dishes and utensils are available.
If set-up is not needed, check refrigerators for overnight use and restock rotating FIFO.
Also check the paper levels in all copiers, printers and fax machines.
Once the mail returns, sort by floor and then look up any readily available mail.
Then integrate that mail into the mail already sorted.
Deliver the mail.
It is 10:
00am.
Record UPS, FedEx, and DHL deliveries and deliver.
Recheck the conference center and kitchens after delivering the mail.
Check the printers and copiers again it is 11:
00am.
During this time events have occurred that may cause a delay in completing other tasks such as trips to various other locations such as but not limited to restaurants, other law offices, airport and various county and state offices, and trips to Attorneys vehicle to retrieve items, opening recycle bins, emptying recycle bins, transporting files, restocking supplies, transporting dirty and clean dishes re-checking the Conference Center for clean-up that is needed.
Now it is 12:
30pm and time for lunch.
One hour later, take care of anything that was brought to your attention during the lunch hour that could not be taken care of through verbal or written communication.
Check copiers and printers and make sure kitchens are clean and stocked and remove and replace dishes utensils, and make sure that anything that is usable is replaced or restocked.
Make any deliveries that have come up in this time and deliver any interoffice deliveries that need to be made.
Complete other projects that may arise and be on the look out for those who are beginning to send out mail and other packages as well as assist anyone who needs help.
Re-check the Conference Center.
It is now 3:
30pm.
Check Outlook for Conference Room reservations for the next day.
Sort and deliver the afternoon mail but adjust the afternoon schedule because afternoon mail is never delivered at the same time.
Check the copiers, printers, and kitchens and restock as needed.
Check the Library to see if things need to be re-shelved and straighten as needed.
It is now 4:
15pm.
Check copiers and kitchens firm wide to make sure nothing is overlooked or forgotten.
The afternoon from 3:
00pm on is peak time for the copy rooms and other machines, which is why particular emphasis is placed on these areas.
Make sure Conference Center is in well-maintained order making sure to have ample things available to those who may be working late, including but not limited to drinks, napkins, salt and pepper, plates, and utensils.
It is now 5:
00pm.
Check with other Operations staff and coordinate any last-minute details prior to departure.
Other than the pick-up of, sorting and distribution of parcels and mail other duties may include but are not limited to the following:
1.
Assisting Secretaries and Paralegals with various projects and or shipping needs and file retrieval questions.
2.
Changing of Coke products in the kitchens, both pre-mix and CO2 canisters.
3.
Retrieving items from the vehicles of Attorneys.
4.
Making inner-office deliveries between parties, such as Attorney to Support Staff.
5.
All throughout the day check the inbox on the reception desk for deliveries made to the firm and distribute them.
(Record the Delivery if needed) 6.
If time allows straighten the storage areas and restock and shift as needed.
7.
Pick-up of items such as lunches and other errands as needed.
The duties vary by day as well as the order in which they are performed exclusive of mail delivery.
Special Notes:
Clarification on a few items on schedule adjustment and duties:
Pick up and drop off of mail are on the late start days.
In addition, any set-up of the next day's breakfasts/meeting is done at the end of the day prior to that/those events.
This is all subject to change and varying tasks that crop up daily as well as any catch up related to the delay of any task that comes up or takes longer throughout the day.

when the evening mail is dropped off at the post office.
FedEx and UPS are also dropped off at this time as well as date stamping of any Certified mail that has been placed in the mail bins since the afternoon mail was delivered.
